This article will walk you through the set up for interview details such as sending an invite to the candidate to schedule an interview, the duration of the interview, event description, number of interviewers needed, etc.
Once you have set up your “My Profile” and “My Availability” on the main “INTERVIEWS” tab, you’re now ready to set up the interview details for any interview by configuring the ‘Interview Scheduler’. The 'Interview Scheduler' needs to be configured for every interview activity in the Job Req screening plan.
- Sign in at https://app.journeyfront.com/login
- Click the “JOB REQS" tab in the top navigation bar and select the appropriate Job Req
- Click on "SETUP" and then "Screening Plan". As you can see in the screenshot below, only one 'Step' is labeled as an interview ( Step "3: Final Interview"), but you can see that are 2 'Interview Activities' in the screening plan for this Job Req (Step "2. Screener Call" is conducted as an interview). Therefore interview details need to be set up for both interviews. We'll focus on the 'Final Interview' for our example.
- Click on the arrow next to the title of the Interview activity to reveal the "Interview Scheduler". In this example, click the dropdown arrow next to "Hiring Manager Interview" activity and then click on "View and Edit Details".
- Let's look at each component that we need to configure for the "Interview Scheduler".
- Send email invite to candidate when entering step: Toggle whether or not you would like to send an email inviting the candidate to schedule an interview once they've been added to the interview step
- Toggle 'On' or 'Off'
- Duration: Select the appropriate meeting duration from the drop down.
- 15, 30, 45, 60, 90, 105 or 120 minutes
- Format: How is the interview being conducted
- Video conference call
- If you're doing a video interview, you'll see a 'Video Link' field. Select "Interviewer's Default" or "Custom Link"
- If you select "Custom Link", a custom link field will appear so you can enter in the custom video conferencing link.
- Phone
- This simply allows you to identify the type of interview.
- In-person
- If you're doing an in-person interview you'll see a 'Location' field appear to enter in the address of the interview
- If you're doing an in-person interview you'll see a 'Location' field appear to enter in the address of the interview
- Video conference call
- Interviewer(s): Add the appropriate Interviewers by clicking on the blue "+ Add Interviewer" link (list shows current users in Journeyfront)
- Once you select an interviewer, it will show:
- The name of the interviewer
- The interviewers email
- Upcoming Interviews, if any
- If the interviewer has not yet 'synced' their calendar and will provide a link to invite them to sync their calendar
- Once you select an interviewer, it will show:
- Number of Required Interviewers: Indicate the minimum number of required Interviewers
- In our example above we added two interviewers to this Job Req, so we can indicate that this interview needs:
- All interviewers (2)
- At least one of the interviewers

- Maximum Number of Interviewers: The maximum number of interviewers that should be invited.
- How to Pick Interviewers: Determines how available interviewers will be selected
- Event Description: Description of the interview (event). Will show on the calendar invite
- Message to Candidate: Message that is included in the email to the candidate. Will show in the email body.
- Include link to interview guide on calendar event
- Toggle 'Off' or 'On'
- Allow candidate to reschedule interview with the same link
- Toggle 'Off' or 'On'
- Save Settings: When you have completed all of the setup/configuration, don't forget to 'Save Settings'.
- If the 'Save Settings' button is greyed out, it's indicating that you need to add at least one user/interviewer who has synchronized their calendar. Once you do that, you'll see the 'Interviewers Availability' message towards the top of the screen and you'll be able to click the 'Save Settings' button.
